The Ultimate Guide to Planning a Portrait Photoshoot: From Vision to Final Edits

Turning Moments Into Mems

Every person deserves to have moments in life captured beautifully—whether it’s a birthday, a fresh chapter in life, or simply the desire to feel confident in front of the camera. As a portrait photographer, I’ve seen firsthand how thoughtful planning can turn a regular shoot into an unforgettable experience.

This guide walks you through how to plan a photoshoot that captures your essence—from the first idea to the final edited images. Whether you’re booking your very first session or looking to level up your next one, you’ll find everything from outfit tips to editing insights. Let’s turn your vision into timeless memories.

1. Start With the Purpose & Feel

Before diving into any details, start by getting clear on the purpose of your photoshoot. Are you celebrating a milestone, refreshing your brand, or just capturing the joy of everyday life? Understanding the “why” helps you figure out the “how.”

Ask yourself:

  • What story do I want these photos to tell?
  • Who will be in the shoot?
  • Where will these photos live (social media, website, printed album, etc.)?

Once you know the purpose, choose the mood. Maybe you want something whimsical and dreamy, warm and nostalgic, or clean and modern. The vibe will shape the location, wardrobe, and overall direction.

2. Location Matters (More Than You Think)

Your location sets the backdrop—literally. Whether you choose a cityscape, mountain view, cozy indoor studio, or backyard picnic, the setting should enhance your story.

A few tips for choosing a location:

  • Lighting is key: Golden hour is ideal for soft, flattering light.
  • Match the mood: Rustic barn for cozy vibes, downtown alleys for a bold look.
  • Practicality: Make sure it’s safe, accessible, and allows photography.

3. What to Wear (Without the Stress)

Let’s be honest—figuring out outfits can feel like the most stressful part. But it doesn’t have to be! Coordinated doesn’t mean matching, and simple really is best.

My go-to outfit advice:

  • Stick to 2–3 coordinating colors (earthy tones or pastels always photograph beautifully)
  • Avoid neon, logos, or busy patterns
  • Make sure everyone feels comfortable and confident
  • Bring a second outfit if you want variety

If you’re totally unsure, I always offer wardrobe consultation as part of your session. Clients love when I send over mood boards or Pinterest outfit ideas tailored to their shoot.

4. The Must-Have Photoshoot Checklist

A good photoshoot checklist keeps everything on track, especially when there are kids, pets, or multiple people involved. Here’s what you shouldn’t forget:

Client Checklist:

  • Confirm date, time, and location
  • Choose and prepare outfits
  • Pack props or accessories
  • Bring water, wipes, snacks
  • Plan hair/makeup if needed

Photographer Checklist:

  • Charge all gear and bring backups
  • Clear memory cards and format them
  • Print or review shot list
  • Bring emergency items (bobby pins, lint roller, safety pins)
  • Check the weather and have a backup plan

5. Communicate, Communicate, Communicate

Whether you’re the photographer or the person booking the shoot, communication is everything.

Send everyone involved the following:

  • Calendar invite with time, date, and address
  • Outfit guidance and color palettes
  • Notes on what to expect (casual, relaxed, lots of movement, etc.)

This sets the tone and reduces day-of questions or confusion. I also recommend sending a “what to expect” email 48 hours before the shoot. (I do this for every Mems by Em session!)

6. The Day of Your Shoot: Keep It Light & Fun

You’ve done the prep. Now it’s time to enjoy the moment.

Day-of reminders:

  • Arrive early and take a few deep breaths
  • Play music to create a relaxed vibe
  • Be open to movement, laughter, and even chaos (especially with kids!)
  • Don’t worry about perfection—we’re going for connection

Some of my favorite sessions are the ones where clients just let go and enjoy each other. It shows up in every frame.

7. After the Shoot: Choosing, Editing & Sharing

After our shoot together, I sort through all the footage and select the best moments that reflect your vision. Then comes the editing magic.

What you can expect from me:

  • Sneak peeks within 2–3 days
  • Full gallery delivery in 2–3 weeks
  • Web-optimized images and high-res downloads

And don’t forget to use your images!

  • Post on Instagram or TikTok and tag @mems.by.em
  • Print them as gifts or create a gallery wall
  • Add them to your business website or portfolio

8. Extra Tips for First-Timers & Shy Clients

Not everyone feels like a natural in front of the lens, and that’s totally normal. Here’s how to ease nerves:

  • Practice simple poses at home in front of the mirror
  • Choose a photographer you vibe with (hi!)
  • Wear clothes that make you feel good
  • Remind yourself this isn’t about being perfect—it’s about being you
  • Try poses of you looking away if that makes you feel better!

Many clients arrive nervous and leave saying, “That was actually fun!” My whole goal at Mems by Em is to create an experience you’ll remember just as fondly as the images themselves.
